In-person signing

In-person signing allows a signer to complete a document directly on your device, without needing a signature request link. The process is secured with a One-Time Pin (OTP), and all activity is logged in the audit trail for tracking and verification purposes. This feature provides flexibility for signing when parties are physically present, while ensuring compliance and accurate record-keeping.

Important: Once in-person signing is triggered, you will be logged out of your QuicklySign account for security purposes. After the in-person signing is completed, log back into your account to either facilitate another in-person signing or allow the system to send the request to the next signer.

Instructions

Scenario 1: Signing as the only signer

  1. Create your document and select Sign In-Person from the dropdown instead of Request Signatures.

  2. Click Sign Now next to your name.

  3. An OTP will be sent to your email or mobile number.

  4. Complete and sign the document, then click Submit.

  5. Enter the OTP, tick Signed in each other's presence, and click Verify and Sign.

Scenario 2: Only the first signer signs in person

  1. Create your document and select Sign In-Person.

  2. Click Sign Now next to the first signer’s name. An OTP will be sent.

  3. Hand your device to the signer to complete the document and click Submit.

  4. Signer enters OTP, ticks Signed in each other's presence, and clicks Verify and Sign.

  5. Take back your device and click Send for Signatures to proceed to the next signer.

Scenario 3: Any signer other than the first signs in person

  1. Create your document and click Request Signatures as normal.

  2. After the preceding signer completes signing, click Actions > Sign In-Person next to the next signer’s name.

  3. Click Sign Now, and an OTP will be sent to the signer.

  4. Hand your device to the signer, have them complete and click Submit.

  5. Signer enters OTP, ticks Signed in each other's presence, and clicks Verify and Sign.

  6. Take back your device and click Send for Signatures to continue.

Scenario 4: All signers sign in person

  1. Create your document and select Sign In-Person.

  2. Click Sign Now next to the first signer, and an OTP will be sent.

  3. Hand your device to the signer, complete signing, and click Submit.

  4. Signer enters OTP, ticks Signed in each other's presence, and clicks Verify and Sign.

  5. Repeat for all remaining signers. The completion confirmation will be sent once all signers have signed.

Expected Outcome

  • Each signer completes the document securely using OTP verification.

  • All in-person signing activity is recorded in the audit trail, including timestamps and authentication method.

  • Documents can mix in-person and remote signing for flexibility.

FAQs

Does the signer need a QuicklySign account?
No. In-person signing is authenticated solely via OTP.

What if the signer doesn’t receive their OTP?
Ensure the correct email or mobile number is captured. The OTP can be resent if needed. Mobile OTPs are recommended for convenience.

Is in-person signing recorded?
Yes. The audit trail logs who signed, when, and how the document was authenticated.

Can in-person and remote signing be combined?
Yes. Some signers can sign in person while others sign remotely on the same document.

What does “Signed in each other’s presence” mean?
It confirms both parties were physically present during signing, adding an extra layer of legal acknowledgment.

Can in-person signing be done on a mobile device?
Yes. Simply hand your phone or tablet to the signer when prompted.

What if I accidentally click Sign In-Person for the wrong signer?
The OTP will be sent to that signer. Cancel the process and refresh the page to retry. Applicable if Sequential signing is disabled.
