First signer has a multi-edit role

This feature allows the first signer in a document workflow to complete or update fields assigned to other recipients before the document is forwarded. This helps reduce delays caused by missing information and streamlines multi-party document completion.

This improves accuracy and turnaround time by enabling the first signer to assist with data entry while still maintaining strict control over signatures and initials.


Requirements

  • Access to the Multi-edit role feature must be requested via your Company Administrator, in-app chat or [email protected]

  • No additional charge applies for enabling this feature


Instructions

  1. Navigate to Templates or create a new document.

  2. Add recipients and assign fields to each signer as required.

  3. Enable First signer has multi-edit role in the document or template settings.

  4. Assign fields to recipients as normal across all signers.

  5. Send the document to the first signer:

6. The first signer completes their assigned fields and may also fill in or update eligible fields for other recipients:

7. If there are additional recipients in the signing workflow, they will only be able to access and update their own assigned fields. They cannot edit fields assigned to other recipients. If a recipient identifies incorrect or missing information, they may decline the document. The decline reason is returned only to the sender, who can make the required amendments and resend the document. The workflow will restart until all parties are satisfied and able to complete the signing process:

8. Once the document reaches the intended recipient(s), they may review and update any information prefilled by Signer 1 within the fields originally assigned to them before completing their signing step:

Expected Outcome

The first signer is able to assist by completing shared fields across recipients, while signature and initials fields remain locked to the assigned signer. Once completed, the document proceeds normally to the next recipients with all assisted fields already populated.

Recipients receiving the document will see the prefilled information and can update their own fields if required before signing.


FAQs

Can the first signer sign and initial on behalf of others?

No. Signatures and initials must always be completed by the assigned recipient.

Can prefilled setup fields be edited?

No. Fields assigned to β€œMe (Now)” that are prefilled during setup remain locked and cannot be changed by the first signer.

Why can later signers not update fields on behalf of others?

Only the first signer is granted assist permissions to prevent conflicting edits and maintain a single controlled entry point for data completion. This ensures consistency in the document, while all subsequent recipients can only update and confirm their own assigned fields before signing.

What happens if the first signer leaves fields incomplete?

The document will proceed, and later recipients will be able to complete or correct their own fields before signing.
