Placing notes on documents

Written by Nirmal Fakir

Signer Notes allow users and signers to add comments directly on documents during setup or signing. This feature enables clear communication, contextual feedback, and collaboration without modifying the actual document content.

Requirements

  • Signer Notes must be enabled during document setup.

  • If unavailable, contact the Solutions team via the in-app chat or [email protected]

Instructions

Enabling Signer Notes

  1. During document setup, toggle the Enable Signer Notes option.

  2. Confirm settings before sending. Signers cannot add notes if the feature is not enabled.

Adding Notes

  • During Setup: Users can place notes anywhere on the document before sending.

Public vs Private Notes

  • Public Notes: Visible on the final document for all parties.

  • Private Notes: Visible only to the sender within their QuicklySign account.

Viewing Notes on the Final Document

  • Public notes appear at the end of the document, just before the audit trail.

  • Private notes remain visible only to the sender within their QuicklySign account.

Important Considerations

  • Notes do not trigger real-time notifications.

  • If immediate feedback is required, signers can either:

    • Decline the document and provide feedback, or

    • Contact the sender directly.

  • Signers in a workflow can see public notes left by previous signers.

Expected Outcome

Signer Notes provide a way for senders and signers to add contextual comments directly on the document. Notes improve clarity but do not trigger in-app notifications in real time. They allow collaboration and feedback to be captured within the document without interrupting the signing workflow.
