Creating Templates

Templates allow you to create preconfigured documents for repeated use. The setup process is very similar to creating a standard document, with the key difference being that templates use roles instead of fixed signer details. This saves time and ensures consistency across frequently used documents.

Requirements

  • Supported document formats: PDF, Word, Excel, PowerPoint

  • Permissions to create and manage templates


Instructions

Templates can be created in two ways: by uploading a new document or converting an existing document.

Option 1: Upload a new template

  1. Upload the template document

    • Click New Document

    • Select Use an existing template

    • Click Upload a new template

    • Browse to your file and click Open

  2. Automatic document checks
    QuicklySign performs the following checks while uploading:

    • Virus scan – Documents are quarantined if a virus is detected

    • Password protection check – Enter the password if required; signers will not need it later

    • Fillable/editable format check – Fields are detected automatically; use the Blue Wand to place fields

  3. Set up template details

    • Template Name – Used to identify the template when reusing it

    • Note: The document name must still be updated when sending, as it forms part of the email subject line.

  4. Define signer roles

    • Add the number of required signers using +Signer

    • Assign roles (e.g. Tenant, Applicant) instead of specific names

    • Signer details will be completed each time the template is used

  5. Preset values (optional)

    • Set predefined signer details where a role is always completed by the same person

  6. Configure signing settings

    • Signing Order – Sequential or concurrent

    • Signing OTP – One-factor (email) or two-factor (email + mobile OTP)

    • CC Recipients – Add recipients who should receive completed documents

  7. Apply template settings

    • Configure any additional preferences using Template Settings

  8. Set up fields

    • Add fields by selecting a field type and placing it on the document

    • Assign fields to roles

    • Use supporting features where needed:

      • Auto-initials

      • Mutually exclusive checkboxes

      • Field Replication

    • Mark required fields and add help text where necessary

    • Assign pre-filled fields to Me (Now)

  9. Save the template

    • Click Save Template at the top right

Option 2: Convert an existing document

  • Existing documents can be converted into templates for reuse

  • Refer to the Converting Documents to Templates article for full steps


Expected Outcome

A reusable template is created with predefined roles, fields, and settings. This allows documents to be generated quickly without rebuilding the structure each time, improving efficiency and consistency.


FAQs

Do I need to add signer details when creating a template?
No. Templates use roles. Actual signer details (Name, email, mobile number) are added each time the template is used. Frequent signers (internally) can be saved within the template by clicking "Preset Values" beneath their role.

Can templates be shared across a team?
Yes. When placed within a shared workspace, you are able to share with your team. Organisation templates are also available for Enterprise plans.


Do I still need to rename the document before sending?
Yes. The document name must be updated when sending, as it becomes the email subject line.
