Conditional Rules (Field Logic)

Field Rules (Conditional Logic) allow you to show or hide sections of a document based on a signer’s input. This helps keep documents relevant, easier to complete, and avoids unnecessary questions that may not apply to signers.

Field Rules work using simple IF statements during document setup:

  • IF a signer selects a specific option
  • THEN another field or section becomes required or visible

This ensures signers only complete sections that apply to them.

Common Use Case Example

Health declaration scenario:

  • A signer is asked: “Do you have any existing health conditions?”

    If the signer selects Yes (Check box)

    → A follow-up section appears requiring them to provide more details (and can be marked as “required”).

    If the signer selects No

    → They can continue to the next section without interruption.

This keeps the document short, relevant, and compliant.

Please see below for a detailed instructions on how Field Rules are configured:

1. Label trigger fields

Identify every field that will drive a rule such as checkboxes, choice fields, or text inputs.

Select the field > Select “Show advanced Setup” > Update the Field Name to clearly indicate its purpose > This is the trigger that the rule will reference.

2. Label resultant fields or sections

Next, label the field or group of fields that should appear once the trigger is activated.

You may select each dependent field or a section - Please apply a clear, related label and do not repeat labels throughout the document setup

3. Open Field Rules configuration

Click the Document tab* above Page 1 > Select “Configure Field Rules”.

4. Create your first rule

  • Click “Add new field condition” > Select “Add Condition” > Locate your recently labelled trigger field (nb: Labelling these trigger fields makes it easier to find within a list of all fields currently present on the document)
  • Define how the system should react when the signer interacts with it
  • Select the field or section that should be revealed when the trigger condition is met

5. Save and test

  • Save the configuration
  • Test the document in setup or preview mode
  • Interact with the trigger field to confirm the correct fields appear or hide


Notes:

  • If it does not work, recheck the field labels. Naming mismatches are the most common cause of failure.
  • Field Rules only work if field labels are set up correctly. Keep labels clear and consistent, and always test before sending. To save time, create Field Rules within templates so you do not have to repeat the setup for every document.
  • Remember to mark both the trigger and resultant fields as Required. This ensures that when a field is revealed, important information cannot be skipped. For triggers, it is recommended to enable Mutually Exclusive Checkboxes 
  • Field Rules only work if field labels are set up correctly. Keep labels clear and consistent, and always test before sending. To save time, create Field Rules within templates so you do not have to repeat the setup for every document.
