Xplan Integration User Guide

Xplan is a tool designed to help financial professionals, such as advisors, work more efficiently. By integrating Xplan with QuicklySign, you can use client data already stored in Xplan to quickly and accurately populate documents.

Basic Setup

Linking Your Profile to Xplan

  • Log in to your account and click your profile name at the top-right corner of the screen.
  • Scroll down to 'Configure integrations' and click the button.
  • Click 'Connect' and follow the on-screen instructions to complete the connection to Xplan.
  • Once linked, refresh your browser page to ensure the integration is updated.


Using Xplan Mapping

Confirm Mapping is Enabled

  • Mapping must be enabled to use Xplan data mapping.
  • To confirm, please look for the three-dot menu next to input fields like:
    • Template/Document Name fields.
    • Signatory fields (e.g., mobile number, email) if 2FA is enabled.

Important Note About Fetching Users

Before using Xplan mapping, please retrieve the client’s profile first to ensure the pop-up with available data fields appears. If this step is skipped, no options will appear for selection.

Using Syntax When Mapping is Enabled

  • Use two colons (::) to access Xplan data fields.
  • Examples of fields you can populate include:
    • Signatory Name (e.g., Name field).
    • Signatory Mobile Number.
    • Signatory Email.
    • Client ID (custom field added by the user).
    • Address (custom field added by the user).


Documents

How to Fetch Client Data

  • Click the 'Fetch data from Xplan' button.
  • To fetch data:
    • Click the 'Fetch data from Xplan' button.
    • Type your client’s name and select them from the dropdown menu.

Mapping Fields for Document Setup

To populate fields with client data in document setup mode:

  • Confirm that mapping is enabled.
  • Fetch the user to ensure the field mapping options appear (refer to Basic Setup > Using Xplan Syntax).
  • Use the syntax (::) to map data fields into input fields such as:
    • Document Name fields.
    • Signatory fields (e.g., mobile number, email) if 2FA is enabled.


Templates

Benefit of Using Templates with Xplan


Using templates with Xplan ensures that you do not have to redo the mapping every time you send out a document. By setting up mappings once within a template, you can:

  • Save Time: Avoid repetitive mapping for each document that needs to be sent.
  • Streamline Workflows: Quickly send out documents without manual adjustments.


Template Setup

To avoid manually applying Xplan mapping each time:

  • Confirm that mapping is enabled.
  • Access the required template.
  • Click 'Preset values' to start mapping fields.
  • Use the three-dot menu to map Xplan syntax to required fields (e.g., client information fields).
    • If the three-dot menu does not appear, ensure mapping is enabled (refer to Basic Setup > Using Xplan Syntax).
  • Fetch the user first to ensure mapping options appear for fields.
  • Save the template once mapping is complete.


Troubleshooting

Refreshing the Data Fetch Process

  • If fetching data does not work as expected:
    • Click the refresh button located to the right of the client name text field near the 'Fetch data from Xplan' button.
    • Confirm that the three-dot menu is visible for fields requiring mapping adjustments.
  • If you do not need to use mapping, simply refreshing should resolve the problem.
